Conflict in the Workplace

During a recent session hosted by ABC VT/NH on Conflict in the Workplace, I was asked to address 2 questions:
1) How can I effectively de-escalate conflict involving strong personalities?
2) How can I enforce rules without putting people on the defensive?
Here are my thoughts on these questions.

To effectively de-escalate conflict involving strong personalities, focus on calm communication, active listening, and empathyWhen enforcing rules, emphasize the purpose and benefits, and use a soft, positive tone.

De-escalating Conflict with Strong Personalities:
  1. Engage in active listening to understand the other person’s perspective and concerns. This involves paying close attention to their words, non-verbal cues, and expressing empathy. 

  2. Maintain a calm and composed demeanor. Speak in a soft, encouraging tone and avoid raising your voice or using accusatory language. 

  3. Show that you understand their feelings and concerns. Reflect their emotions back to them and validate their experience. 

  4. Use open body language, maintain a neutral facial expression, and avoid physical contact unless absolutely necessary. 

  5. Use “what” and “we” to include the person in future plans, and focus on making statements that convey a desire for cooperation and positivity. 

  6. Try to understand the root causes of the conflict. This can help prevent escalation and facilitate a more productive conversation. 

  7. If the situation becomes too intense, suggest taking a break or postponing the conversation to a later time when both parties are more emotionally regulated. 

Enforcing Rules Without Putting People on the Defensive:
  1. Focus on the Benefit:

    Explain why the rule is in place and how it benefits everyone, rather than simply stating it as a command.

  2. Use a Soft Tone:

    Speak in a calm and reassuring tone, avoiding language that could be perceived as accusatory or judgmental.

  3. Explain the Rules:

    Clearly and concisely explain the rules and the consequences of violating them.

  4. Focus on Solutions:

    Frame the rule enforcement as a way to create a positive and productive environment, rather than as a punishment.

  5. Use Positive Language:

    Use encouraging language that emphasizes cooperation and teamwork.

  6. Address Perceptions and Assumptions:

    Be aware of potential misunderstandings and address them in a clear and respectful manner.

  7. Stay Calm and Composed:

    Your own behavior can greatly influence how others respond to the enforcement of the rule.

  8. Offer Support:
    Let individuals know that you are there to support them in following the rules and help them navigate any challenges.
